Interface with customers, suppliers and staff via phone and in person to provide administrative support. The Administrative Assistant is responsible for maintaining a professional corporate image and ensuring the branch is organized in appearance and operation. Under the supervision of the General Manager, the Administrative Assistant relies on instructions and pre-established guidelines to perform the functions of this role. The Administrative Assistant has knowledge of commonly-used concepts, practices, and procedures within the administrative support field.
COMPENSATION
$30,000.00 – 41,600.00 annually
EDUCATION AND PROFESSIONAL CERTIFICATIONS
High school diploma.
Some College preferred.
CANDIDATE PROFILE
• Basic knowledge of computer operations.
• Must be familiar with computer technology and Microsoft Office products including Word, Excel, and Outlook.
• Courteous with strong customer service orientation.
• Dependable with proficient attention to detail and dealing with confidential information.
• Possessing adaptive listening skills and able to vary communication styles.
• Strong multi-tasking and organizational capabilities
• Previous administrative support experience in a business environment.
PRINCIPAL DUTIES AND RESPONSIBILITIES
• Greet customers, suppliers, staff and other visitors in a courteous, friendly, and professional manner.
• Listen attentively to customer’s needs and concerns.
• Effectively transfer incoming phone call requests to appropriate parties.
• Maintain basic knowledge of client products and services.
• Maintain an organized and efficient work environment.
• Provide assistance to all departments as required.
EXTENDED DUTIES AND RESPONSIBILITIES
• Answer multi-line telephone system, forwarding calls to personnel and voice mail
• Draft letters, faxes, and documents as required
• Receive and distribute faxes, mail, etc.
• Send mail, couriers, etc.
• Filing (Accounts Receivable, Project Files, Customer files and general office files)
• General office maintenance including the ordering of office supplies
• Prepare client invoicing and process payments
• Prepare company bank deposits
• Assist with corporate travel arrangements
• Data entry as required using Microsoft and other custom applications
• Assist local project manager as required
• Receive local inventory and manage inventory/assets
• Arrange weekly transfer of offsite storage tapes
• Accounts receivable for local branch, monitor reports and follow up as required
• Maintain memorized transactions in TRAX
• Book and maintain calendars for General Managers
• Recruitment Ads, post and direct flow of applicants
• Assist in new hire preparations and documentation
