full time Legal Assistant - Insurance Defence

On behalf of our Top Notch Calgary Law Firm, we are currently seeking an experienced Insurance Defence Legal Assistant.

Under the immediate supervision of the assigned lawyer, the legal assistant shall have exceptional organizational and communications skills. The legal assistant shall complete large volumes of dictation and basic administrative duties. These duties include the posting of the lawyer’s daily timesheet, accounting functions such as preparation of Statements of Account, receipt and disbursing of funds, opening and closing of files, communication with various parties including opposing counsel, managing the lawyer’s calendar and booking appointments. The legal assistant will conduct searches against existing and opposing parties, scheduling taxations, preparation of various Affidavits of Records, Trial Binders, Briefs and monthly reports to clients and more. The legal assistant must have a positive attitude, excellent organizational skills, the ability to multitask and take pride in their quality of work is important to be successful in the position.

Major Duties and Responsibilities:

•Completion of dictation provided by the lawyer on a daily basis which will include preparation of pleadings, correspondence, reports and Statements of Account.
•Posting of the lawyer’s time sheet, checking diaries and limitations on a daily basis.
•Prepare and assemble Affidavits, Trial Binders, Briefs and Reports and more.
•Review and proofread documents with accuracy.
•Responsible to complete monthly statements of account to clients and monitoring receipts of payment.
•Answering telephone calls and taking messages in a professional manner, scheduling appointments and meetings accordingly.
•Experience in dealing with concerned clients, opposing counsel, court reporters, court clerks, registries and process servers.
•Open and distribute incoming mail, faxes and couriers daily.
•Work determined to be completed under the supervision of the lawyer on a daily basis.
•Performs all other related duties as assigned.


Minimum Qualifications and Skills:

•Graduate of a recognized legal assistant program.
•Minimum 2 solid year’s of previous litigation experience.
•Previous experience working in the area of Insurance Defence law applying commonly used concepts, practices and procedures is an asset.
•Knowledge of Word 2003, managing of emails on Outlook, processing of Statements of Account and accounting functions in custom accounting program. Working knowledge and procedures in a law office environment.
•Excellent organizational skills, ability to multitask and have excellent attention to detail including proofreading, grammar and spelling.
•The ability to work under pressure and produce quality work in a timely manner.
•The ability to work with minimal supervision and with co-workers in a team setting.


Mental Effort:

•Mental and visual concentration while working on a computer daily for a 7 hour period.
•Concentration on priorities changing throughout the day.

Physical Effort:

•Sitting for extended periods of time at a desk and performance of constant keyboard and computer usage throughout the day.
•Standing for lengthy periods of time on large photocopy projects may be required.

Working Conditions:

•Working in a law office environment.
•Intermittent interruptions from co-workers, telephone calls and other lawyers.

Type of Supervision Received:

•Reports directly to the assigned lawyer. Assignments are reviewed on an on-going basis by the assigned lawyer.

Type of Supervision and/or Assistance Given:

•The legal assistant will communicate daily with the lawyer.
•The lawyer will orient and provide assistance to determine priorities, major clients, style of correspondence, pleadings, completion of Statements of Account, booking of appointments, managing his/her calendar, and the preferred process of opening and closing files.
