The Calgary Regional Office is currently recruiting for a Part Time Administrative Assistant, reporting to the Director, Alberta Operations. Please Note: This is a 14-Month Maternity Leave Contract Opportunity.
Responsibilities:
- Provide administrative support to the Director, Alberta Operations, along with other team members within the regional office
- Prepare memos, correspondence, proposals, reports and tables
- Prepare and maintain project schedules
- Organizing schedules, coordinating meetings, appointments, travel arrangements, and expenses
- Code and track invoices
- Plan and execute conferences, coordinate group sessions, securing prizing partners, organizing events/entertainment/evening galas
- Handle time sensitive projects and confidential files
- Maintaining communication between all theatres within the region of Alberta
- Greet visitors, answer and screen all incoming telephone enquires and take the initiative to address client concerns
- Prepare faxes, open and distribute mail, prepare couriers and maintain files
- Assist with miscellaneous projects as required
Applicants must be mature self-starters, detail oriented, be able to meet deadlines, take initiative, and able to work independently. Candidates must use discretion and judgment necessary to treat confidential items and assignments appropriately. Efficiency and excellent oral and written communication skills are requirements for this position. The candidate will possess strong keyboarding skills and must be able to maintain effective working relationships with field and office staff. You will possess a strong guest service focus and have superior interpersonal and time management skills. Applicants must have the ability to manage conflicting priorities. Expert use of Microsoft Office including Word, Excel, and PowerPoint and Outlook are prerequisites for this position.
