DUTIES OF COMMUNICATION COORDINATOR
Overview

The Graduate Students' Association was established in 1967 and operates under a mandate to promote and serve the academic, intellectual, cultural and social interests of graduate students.
The GSA is exclusively governed by graduate students, specifically a graduate student board who oversees the financial and policy decisions of the GSA. The organization's day-to-day affairs are carried out by an Executive Director and their staff.

The GSA has created the role of Communication Coordinator (CC) to address immediate needs of the organization. This communication generalist role is an excellent entry-level opportunity, ideal for a candidate who wants to build their portfolio, and gain practical communications and marketing experience.

The CC will be responsible for overseeing and managing the day-to-day internal and external communications of the GSA. Also, the CC will be responsible for the coordination and execution of various special projects--like brochures, marketing materials--under the direct supervision of the Executive Director and, where appropriate, an Executive Board member. Besides executing the day-to-day needs of the organization, the CC will be responsible for providing practical and applicable recommendations for best practices for the organization in the long-term as its grows.

The CC will report directly to the Executive Director.

General duties include (but will not be limited to):
• GSA External/Internal communications:
o Coordinate, write content for, update and maintain the GSA and Last Defence Lounge websites using the Adobe Creative Suite (Dreamweaver, Illustrator, Photoshop, etc)
o Coordinate, write & edit the weekly GSA e-newsletter, News & Views
o Coordinate and execute special projects such as GSA brochures, the student day planner, etc.
o Market and promote the Last Defence Lounge and its special events (make posters, purchase advertizing, internal promotions, etc.).
o Help strategically promote the GSA to the graduate students, the University of Calgary community, and where applicable, the larger Calgary community as well.
o Draft key messages, presentations, emails, letters, emails and work on special projects as required
o Draft and execute a Communications Plan for the GSA
o Conduct web research to keep informed of developments in education by provincial government, lobby groups, and other regional educational institutions.
o Relay pertinent information to the Executive.
o Research and prepare timely news releases, tracking and documenting success of same.

• Act as clerk for the Executive Board meetings (take minutes, send out agendas, etc.) and ensure minutes are kept and housed in a safe place.
• With the Executive Assistant, coordinate dissemination and use of all GSA related e-mail accounts and lists.
• Work with other staff to ensure co-ordinated communication efforts.
• Other duties as required/assigned.

The ideal candidate will have the following skills and/or abilities:

• Very strong team player able to thrive in a busy and vibrant work environment
• Excellent oral and written communication skills
• Writing experience with a preference given those with a background in journalism, editing, etc.
• Proven creativity and an ability to think outside the box.
• Highly adaptable research skills along with the ability to retain and use said information
• Ability to multi-task in a fast-changing environment where priorities often shift
• Intermediate knowledge of Microsoft Office (Word, Powerpoint)
• Basic to intermediate knowledge of the Adobe Creative Suite (Dreamweaver, Illustrator, Photoshop)
• Previous experience maintaining a website would be preferred
