My client, a publicly-traded Real Estate Investment Trust company, is currently seeking an experienced Leasing Administrator. This position will report to the Western Region Leasing Managers and will be responsible for providing the support required to carry out the functions of the day to day administration of this department. With strong leadership and experienced personnel, my client is focused on producing a stable and growing stream of cash distributions from the ownership and management of high quality commercial properties located in Western Canada. The Leasing Administrator position is located in the Calgary office and will be an integral member of the existing team.
Responsibilities of the position include providing administrative support functions associated with commercial leasing, retail and our industrial portfolio of commercial properties throughout Western Canada. Specific duties include:
• Preparing offers to lease, lease documents and lease amendments at the direction of Leasing Managers.
• Disseminates lease documents in accordance with objectives provided by the corporate leasing department to leasing personnel for our office, retail and industrial properties throughout the portfolio.
• Prepares lease abstracts and space commitment reports for corporate use.
• Maintains an up-to-date collection of real estate market information focused on Western Canadian markets and culled from various sources.
• Performs other record keeping functions pertaining to the maintenance and administration of leases and building documentation (includes tracking deal flow and upcoming lease expiries within the portfolio).
• Follows up with appropriate internal functions and with leasing personnel on specific leases and offers to lease and with outside leasing and Property Managers as necessary.
• Performs administrative functions associated with the distribution of lease agreements, renewal and amending agreements and sublets.
• Prepares property management and lease listing agreements in accordance with company specifications and standards.
The ideal candidate will be a team player; and someone who can follow direction, and a self starter with the ability to also work independently. This is a detail oriented role with deadlines, therefore a candidate who can problem solve under pressure with minimal direction would fit right in. Must be able to multitask; and have strong verbal, computer and written communication skills. Writing experience and the ability to draft correspondence and lease documentation is required. Must be proficient in Microsoft Office, with advanced Word and Excel and be able to maintain strict confidentiality and exercise the utmost discretion. Knowledge of lease language and previous experience within the commercial real estate industry is an asset. A university degree or college diploma is preferred.
